Onboarding forms can be assigned directly to individuals - for new starters, this might include gathering key information such as skills, personal details, or bank and employment information. You can also use onboarding to collect updated information from existing team members β for example, refreshing emergency contact details. Once assigned, the onboarding tile will appear to the individual the next time they open the app, prompting them to complete it before they can do anything else.
For bulk assigning onboarding, speak to your CSM or Support team who can assist.
Onboarding forms can also be linked to directory roles, so that the right form is automatically assigned whenever someone with that role is added to the system β for example, automatically triggering a new starter form for every Site Manager added. This is configured in System Settings; contact your CSM or Support team for help setting this up.
Assigning Onboarding
Go to Workforce Management.
Select Induction Workbench.
Click the Start New Induction button.
A pop-up will appear β select the person you want to assign the onboarding form to.
From the dropdown list, select the onboarding form you wish to assign.
Confirm to complete the assignment.
The onboarding form is now assigned to that individual.
Activating the Onboarding Form
NB: If the onboarding form is being sent to someone already on your system (ie. not a new user), they will need to hard close the app and reopen it. The Onboarding tile will then appear. To hard close, swipe the screen up and then reopen the app (you don't need to log out).
When they reopen the app, they will see a screen with only the Onboarding tile visible. This will prompt them to complete their onboarding before they can do anything else.
Once finished, they will be ready to sign in as usual.
All onboarding information will automatically sync with the platform.
Monitoring Progress
To track the status and progress of assigned onboarding forms, go to the Induction Workbench.
Use Case
This feature is predominantly used by super users and anyone responsible for managing the onboarding of new users on the platform.
π‘ Tips
Assign the onboarding form as soon as a new user is added to the system, so it is ready and waiting the first time they open the app.
If they are NOT a new user, make sure to advise the individual to hard close the app - without this step, the onboarding tile will not appear.
Use role-based assignment where possible to automate onboarding for common roles, saving time on manual assignment for each new starter.
For large groups of new starters, contact your CSM or Support team to arrange bulk assignment rather than assigning individually.
