Instructional Text

Additional guidance can be included on your forms

Instructional Text allows you to add longer blocks of text to your forms and checklists - ideal for in-depth guidance, declarations, or any content that needs more space than a field label allows.

Use it to give users the context they need without cluttering your form layout.

You can:

  • Format text with bold or italic

  • Add hyperlinks

  • Include declarations for users to read before signing


How to Add Instructional Text

  • Go to the Forms tile

  • Start creating a new checklist, or edit an existing one

  • When in a Section, add the field widget Instructional Text

  • In the middle box, type your guidance β€” make it as long or detailed as needed

  • Your formatting options:

    • *Italic* – use single asterisks either side of word eg. *Fill out details* = Fill out details

    • **Bold** – use double asterisks eg **Fill out details** = Fill out details

[Link Text](https://...) – to add a hyperlink

Display PDF Option

  • Your instructional text will always appear on the mobile app whilst the user is carrying out the form. However, it won't appear in the final PDF output unless you toggle 'Display in PDF. If you want to see the text (ie. if it is a declaration), it is important you turn this on.

  • For hyperlinks, always toggle 'Display in PDF'.

Preview Your Text

  • Preview your text on the right-hand side

  • Press OK when ready

Save & Close

  • Use the arrows to move the text to the top of your section (above the questions)

  • The instructional text will appear in the mobile app for the user filling out the form

  • When finished, press Save & Close

Perfect for Admins, Super Users, Health & Safety Managers, or anyone building forms that want to make sure there is clear guidance for the person filling it out.

  • Use instructional text for sections that need extra explanation or if you are wanting to use it as a declaration

  • Keep field labels short β€” put detail in the instructional text instead

  • Make sure to toggle 'Display in PDF' if you want it to appear in final PDF. Must toggle this for hyperlinks.

  • Use the preview to check formatting before saving

  • View / Test on the app to make sure it reads clearly for operatives
