Expiring Skills Digest Email

How the weekly email of expiring skills works, and how to change how far ahead it looks

Chime sends a weekly email listing skills that are expiring or have already expired, so you can arrange renewals before anyone falls out of compliance. The detail arrives as a summary in the email and a CSV file you can sort and filter, which makes it straightforward to book everyone due the same course in one go.


Steps to Set Up an Expiring Skill Claims Notification

  1. Select the System Settings tile.

  2. Click Notifications.

  3. On Expiring Skill Claims, click Configure.

  4. Select the pen icon to make your changes.

  5. Choose the notification channel (for example Email).

  6. Select the cohort you want to receive the notification.

  7. Press Save.

Your notification is now active, and the selected cohort will receive the email each week.


What the Email Contains

The body of the email is a summary — how many skills are expiring, how many have already expired, and how many people are affected.

Attached to it is a CSV file with one row per skill claim, including the person and the skill type. Open it in Excel and you can:

  • Group by skill type to see everyone due the same renewal, so one course booking covers them all.

  • Group by person to see everything one individual needs.

If nothing is expiring that week, the email still arrives with zero counts and no attachment, so you know the check has run.


How Far Ahead It Looks

By default the email looks 7 days ahead, and always includes anything that has already expired. This can be extended — 30, 60 or 90 days are common, giving enough notice to book training. Speak to your Customer Success Manager to change how far ahead it looks.

Whatever the window, the email goes out weekly, so the same skill appears each week until it is renewed. It acts as a repeating reminder rather than a single warning.


💡Tips

  • Create a dedicated cohort for the people who actually arrange renewals, rather than sending it to everyone with skills access.

  • Sort the CSV by skill type before you start booking — one course usually covers several people.

  • This email is separate from the Expiring Soon filter on the Skills Verification tab, which you can run at any time for a live view.
