Applying Rounding Rules to People and Cohorts

How to control exactly who each rounding rule applies to

Rounding rules adjust sign in and sign out times to standard intervals for timesheets. Every rule now carries its own list of who it applies to, so one set of rules can treat different people differently. You can name individuals, choose cohorts, and exclude anyone the rule should skip.


Choosing who a rule applies to

  1. Select the System Settings tile.

  2. From the list, select Rounding Rules.

  3. Open the rule you want to change, or create a new one.

  4. There is an 'include' box and and 'exclude' box. Use Select Person to name individuals, and Select Cohort to choose groups.

  5. Use the search box inside either picker to find someone quickly, or Select All to add everyone in the list.

  6. You can see a summary of the rule before you press save so that you can check you have generated it exactly how needed.

  7. Select Save.

    The rule takes effect from that person's next sign in or sign out.

NB: If the person or cohort you need does not exist yet, you can create it from inside the picker without leaving the rule.


Including and excluding

Each picker offers two options:

  • Include – the rule applies to the people and cohorts you list.

  • Exclude – the rule applies as normal, apart from the people and cohorts you list.

Use Exclude when a rule should cover almost everyone. For example, apply a rule across the whole company and exclude a single night-shift cohort, rather than listing every other cohort individually.


How rules are applied

Rules still work as a waterfall system, top to bottom, with each rule's result passing into the next.

  • Company-wide rules run first, in their own order, followed by the site's rules in theirs.

  • Move rules up or down to change the order they run in. The new order takes effect from the next sign in or sign out.

  • A rule someone is not assigned to is skipped for them, even when other rules in the same collection do apply.

  • If a rule reaches the same person twice — named directly and through a cohort — it is applied once, not twice.

  • Where a site's collection ignores a company-wide rule, that rule stays ignored for everyone on the site.

Cohort membership is read at the moment someone signs in or out, so adding a person to a cohort brings them under that cohort's rules straight away. Removing them takes the rules away just as quickly.


Use Case

Rounding rules are generally set up by initially by your CSM and can then be managed by Super Users.


💡Tips

  • Set your broadest rule first, then add narrower rules above it for the people who need different treatment. This keeps the list short and easier to audit.

  • Use Exclude rather than listing dozens of individuals – it is quicker to maintain when people join or leave.

  • Check the rule order after adding a new rule. A rule placed below a broader one may never take effect.

  • Before deleting a cohort, check where it is used. Cohorts applied to a rounding rule are reported so you can see what would be affected.

  • Remember: you will always see the actual time alongside the rounded time.
