When a skill or qualification has expired, you can archive it rather than deleting it. This removes it from the main skills list to keep things clean and tidy, while retaining it on the individual's profile for audit and compliance purposes - so you always have a full record of who held which qualification and when.
Archiving a Skill
Select the Skills tile.
Go to the Verification tab.
Apply the Expired filter to view all expired skills.
On the right-hand side, locate the eye icon with a line through it next to the skill you want to archive.
Press the eye icon.
A pop-up will appear asking "Are you sure you want to hide this skill?" — select Yes.
The skill is now archived.
Viewing Archived Skills on the Skills Tile
Select the Skills tile.
Go to the Verification tab.
Apply the Expired filter.
Select the Archived filter, tick to apply.
A list of all archived skills will now be displayed.
Viewing Archived Skills on an Individual's Profile
Go to the Address Book.
Select the individual whose archived skills you want to view.
Open the Skills icon at the top of their profile.
Select the Archived filter, tick and press Apply.
All archived skills for that individual will now be visible.
Use Case
Archiving skills is predominantly carried out by super users and anyone responsible for managing the skills and qualifications of their team.
💡 Tips
Make it a regular habit to archive expired skills to keep your active skills list accurate and free of clutter.
Archived skills are never deleted - you can always retrieve and review them at any time through the filters above.
Use the archived skills view during audits or compliance checks to quickly evidence the qualification history of any individual on your team.
