You can add a line manager to an individual's profile so that person is responsible for timesheet approval workflow or time off approvals.
Assigning a line manager to an individual affects two areas:
Timesheet Approval — the line manager can be included in the timesheet approval workflow for that individual, this will over-ride the system default.
Time Off Approval — line manager can be included in the approval flow for time off requests.
Adding a Line Manager
Go to the Address Book.
Select the individual you want to add a Line Manager to
Select the Employment tab.
In the Employment Details section, click the pen icon to edit the 'box'.
In the Line Manager box, press the pen icon and select the person you want to assign as line manager - a pop up will appear.
Selecting Line Manager - Timesheet Workflow
You can then select a timesheet workflow that includes the line manager — this will override the system default ie. Line Manager > Payroll
When selected, press the green tick to save.
Selecting Line Manager - Time Off Approvals
See this full article on Setting up Time Off Requests if needed. Below is how to include the line manager in a specific type of time off approval:
Go to the Time Off tile.
Select the Request Type tab.
Choose the request type of leave you want to configure.
Under Approval Workflow, select the relevant Line Manager workflow.
The line manager assigned to that individual will now be part of the approval flow for that type of time off request.
Use Case
Line managers and approval workflows are typically configured by super users as part of setting up the platform. This is particularly useful for organisations where approval responsibilities vary by individual, team, or type of leave — rather than following a single system-wide default.
Tips
If an individual does not have a line manager assigned, the system default approval workflow will apply - make sure the default is correctly configured before rolling out to your team.
You can assign different timesheet workflows to different individuals, giving you flexibility where approval chains vary across your organisation.
If a line manager changes, remember to update the individual's profile promptly to avoid approvals going to the wrong person.
