How Your Data is Loaded into Chime

At Chime, we understand the importance of your data. We’ve designed our data load process to be secure, transparent and easy to follow - ensuring your information is always handled with care and never left in uncertain hands.

This guide outlines exactly how we collect your data and how it’s safely uploaded into your Chime platform.


1. WE PROVIDE DATA TEMPLATE

Your Sales Person or Customer Success Manager (CSM) will send you blank data templates. These are structured spreadsheets that capture all the core setup data needed to configure your platform - including users, assets, jobs, suppliers, and more.

2. YOU COMPLETE THESE TEMPLATES

You fill in the templates with your organisation’s data. Take care to ensure all information is accurate and complete, as this forms the foundation of your platform setup. Your CSM is on hand to assist with any questions during this stage.

3. UPLOAD YOUR DATA

When your platform is live, your CSM will invite the appropriate person on your team to access a dedicated Setup Documents area inside your own Chime environment. This is the recommended way to share data with us.

⚠️ We strongly advise against emailing the completed spreadsheets.

Uploading to your platform ensures your data stays within your own secure environment — not in inboxes or third-party tools.

4. WE DOWNLOAD THE DATA SECURELY

Once uploaded, the Customer Success or Data Operations team will download the spreadsheet from your platform using company-managed laptops that are fully encrypted and compliant with Cyber Essentials Plus.

While the data does briefly leave your environment, it remains:

  • Encrypted and stored only on secure Chime-managed devices;

  • Handled exclusively by authorised Chime personnel;

  • Within the Chime secure operating boundary at all times.

5. LOAD DATA INTO YOUR CHIME PLATFORM

Using our internal data load tools, we bulk import your information directly into your Chime environment, ensuring accuracy and efficiency.

6. WE DELETE THE LOCAL COPIES

Once the data has been successfully imported:

  • All spreadsheet files are permanently deleted from Chime laptops;

  • No residual copies are kept - your data resides only within your platform.

7. ONGOING SECURITY

Your Chime environment is hosted in secure infrastructure and undergoes regular third-party penetration testing and security audits. Because all data remains within your platform - and our handling process is tightly controlled - you always know exactly where your information is and who has access.
