Different options with photo widgets when building a form

Photos are a powerful addition to any form or checklist. They provide visual evidence of progress, conditions on site, and anything else you need to monitor - making them invaluable for audit trails and quality assurance.


Adding Photos to forms

  1. Start by building a form

  2. When you add a photo widget to your form, you will see a set of options in the middle section of the widget to choose from:

Restrict Access to Camera Roll

Toggle this on to prevent the person completing the form from selecting existing photos from their camera roll.

They will only be able to take live photos at the time of completing the checklist. This is useful when you want strict controls to ensure photos are taken on the spot.


Capture Geolocation

Toggle this on to automatically restrict camera roll access and require live photos only. When enabled, each photo taken will be stamped with:

  • The exact coordinates of where it was taken

  • A map with a pin showing the location

  • The time and date it was captured

This information appears beneath the photo in the final submitted PDF, giving you full confidence in where and when each photo was taken.


Select Photo Layout for PDF

Choose how photos appear in the exported PDF:

Full page β€” One large photo per page, ideal for detail and clarity.

Thumbnail β€” Multiple smaller photos per page, useful when capturing several images and keeping the PDF to a manageable size.


Use Case

This feature is for anyone with permission to build forms, primarily super users and contracts managers (where permissions allow).

  • Enable Capture Geolocation when photographic evidence needs to be tied to a specific location β€” particularly useful for inspections, snagging, and compliance sign-off.

  • Use the thumbnail layout when your form captures a high volume of photos, to keep your PDF concise and easy to share.

  • If you want to ensure photos are always taken in the moment and cannot be substituted with older images, toggle on Restrict Access to Camera Roll as a best practice for quality-sensitive checklists.
