Failure Notifications

Set up notifications for the onboarding process

Updated over 2 weeks ago

You can set up failure notifications to automatically alert relevant people if a section of the onboarding process is failed during the review stage. This is crucial for keeping the process moving quickly, avoiding delays, and ensuring that everyone meets compliance requirements. If an individual does not pass, they cannot complete onboarding β€” which allows you to identify gaps in skills or information ahead of time and take corrective action.

Setting up Notifications

  1. Go to Induction Forms (accessible through Workforce Management or Forms).

  2. Open the induction form you want to configure.

  3. Press the pen icon on the widget where you want to add a failure notification.

  4. In the Notifications box, select Failure Cohort.

  5. Pick the cohort you want to be notified if that section fails.

  6. Press Save.

  7. Repeat these steps for any other widgets where you want failure notifications enabled.

βœ… Now, whenever a section of the onboarding form is reviewed and failed, an automatic email will be sent to the chosen cohort with details of the failed person and section.

Use Case

This feature is primarily used by super users, admins, and anyone building induction forms. It ensures that failures in onboarding are flagged instantly, helping teams stay compliant and resolve issues without bottlenecks.

πŸ’‘ Tips

  • Assign failure notifications to the right people (e.g. compliance officers or training managers) so the issue is actioned quickly.

  • Use cohorts to group people logically (e.g. HR team, site managers, training supervisors).

  • Test your notification setup with a dummy onboarding form to ensure emails are working correctly.

  • Keep induction forms regularly updated so notifications stay relevant.
