Restrict who sees sensitive data

Set up restrictions to who sees what data

Updated over 2 weeks ago

When creating an onboarding form, you may need to collect sensitive information from an individual β€” for example, HR-related or personal data. To keep this data safe, you can set restrictions so that only a specific cohort of approvers (such as HR Managers) with the correct permissions can view and review it. This ensures user data is secure, while still allowing the onboarding process to run smoothly.

Setting up restrictions

  1. Open up the Induction Form you want to edit.

  2. Press the pen icon on the widget that requires restricted access.

  3. In the Options box, select Restrict Approvers to Cohort.

  4. From the pick list, select the cohort who should be able to view and approve that section.

  5. Press Save.

βœ… That section of the onboarding form will now only be visible and reviewable by the selected cohort, keeping sensitive information safe and secure.

Use Case

This feature is used by super users or anyone with the relevant permissions to build and manage induction forms. It ensures that sensitive information is only visible to those who need access, helping maintain compliance and confidentiality.

πŸ’‘ Tips

  • Use cohorts like HR, Compliance, or Payroll to logically manage access.

  • Always double-check restrictions are set correctly before publishing the form.

  • Keep cohorts updated to avoid gaps in coverage if staff roles change.

  • Only apply restrictions where absolutely necessary β€” over-restriction can slow approvals.
