Deactivating a user moves them from your live Address Book into the Archive. You’ll be prompted to select a reason for deactivation from a drop-down list. This helps keep your team list organised and up to date.
Deactivating A User
Select the Address Book tile.
Go to the People tab at the top.
Search for and select the person you want to deactivate.
Click on their name to open their profile screen.
On the left-hand side, you’ll see a green tick that says Account is Active.
Click the Deactivate Account button below.
A pop-up will appear with a list of deactivation reasons.
Choose Reason for deactivation
Choose a reason from the drop-down list:
Left the Company – Use this if the individual has finished working for you or is between projects. They can be reactivated later.
Red Card – Use this if the person is permanently banned from working with you. This user cannot be reactivated.
Amber Card – Use this if the person has received a warning or minor offence. They can be reactivated in future.
Add a comment if needed to explain your selection.
Tick the checkbox to confirm deactivation.
Press Confirm.
The user is now deactivated and moved into your archived records.
✅ Their profile will be saved with all previous data, so reactivating them later doesn’t require re-entering details or skills.
Use Case
This feature is mainly used by Admin, Payroll, or Contracts Managers to manage active workers.
It’s especially helpful in construction where teams can change frequently. Because Chime is priced per user, deactivating unused profiles helps you control costs and stay organised. It’s also easy to reactivate someone later—so it’s a great habit to keep your records clean.
💡 Tips
Deactivation is reversible (except for Red Cards).
Use comments to track why someone was deactivated—this helps with rehires or compliance audits.
Archived users won’t count toward your active user total.
