What is a Delegate Approver?

Don't let timesheet approval get held up - add delegate approvers

A Delegate Approver is an additional person who can approve timesheets if they have the correct permissions. This is useful when the main approver โ€” for example, a Site Manager โ€” is busy, off-site, or on holiday. Adding a delegate ensures that timesheets continue to be reviewed on time without delays.

For example: If John Smith is the Site Manager and the main approver, you could also assign Dan Brown as his delegate. Dan would then have the same ability to approve timesheets, so approvals arenโ€™t held up if John is unavailable. Multiple delegates can be added if required, as long as they have the correct role or higher.


Select an individual

  1. Go to the Address Book.

  2. Search for and select the individual (e.g., the Site Manager, John Smith).

  3. On their profile page, scroll down to bottom of the page to Delegates section.

  4. Click the Add button.

  5. Search the Address Book and select the delegate (e.g. Dan Brown).

    • The delegate must have the same directory role or higher than the main approver.

  6. Press the Select button.

  7. Tick the checkbox Approve Timesheets.

  8. Press Save.

  9. The selected delegate will now be able to view and approve the same timesheets as the main approver.

  10. On each timesheet record, it will show who approved (e.g., John Smith or Dan Brown).

Repeat the process if you want to add multiple delegates.


Use Case

Delegate Approvers are normally set up by Super Users, Payroll staff, or Admins to keep the timesheet approval process running smoothly.
