Timesheet Locking

Timesheet locking allows you to lock down & finalise timesheets once all hours and approvals have been made. When a timesheet is locked, no further changes can be made, giving payroll teams confidence that the data being processed is accurate and ready to go.

This reduces the risk of last-minute edits, eliminates errors and provides a clean audit trail β€” making it a valuable tool in the payroll process.


How to lock down Timesheets

Ensure your Customer Success Manager has enabled the Timesheet Locking permission for your account (it is not turned on by default).

  1. Once enabled, select the Chime Time tile from the left-hand menu.

  2. At the top of the screen, select the Timesheet Locking tab.

  3. On the left-hand side, select your site(s) from the list.

    • You can tick a single site, selection or tick the top checkbox to select all sites.

  4. At the top of the page, choose the week you want to review.

  5. Use the two tabs to filter between:

    • Approved timesheets

    • Unapproved timesheets

  6. Review the approved timesheets:

    • To lock individually, press the Lock button at the far right hand side of the timesheet line.

    • To lock all at once, press the Lock All button at the bottom right.

  7. If required, use the Export button to download the data.

Checking Locked Timesheets in Reports

  1. Select the Reports tab at the top of the screen.

  2. Open the Current Hours with Pay report.

  3. Use the Locked filter at the top to view only locked timesheets.

  4. You can also add the following columns to your report for extra detail:

    • Locked – shows whether a timesheet is locked or not.

    • Locked On – shows the date the timesheet was locked.


Use Case

Timesheet locking is typically used by Super User Payroll staff. It serves as the final confirmation step at the end of the approval process, and only users with the correct permissions can perform it.

  • Always double-check approvals before locking to avoid delays.
