What is Time Off

Manage holiday requests, track allowances and set up approval process

Updated over 2 weeks ago

Time Off is a module in Chime that allows you to manage employee holidays, track allowances, and streamline the approval process. Employees can request time off through the mobile app, managers can approve or decline requests, and everything syncs automatically to timesheets and the Who's Off-Site calendar.

How It Works

Time Off works in a simple flow:

  1. Setup: Super Users create time off policies, request types, and business closures

  2. Generate Allowances: Each individual (where needed) is assigned an annual time off allowance based on their policy

  3. Request: Individuals request time off through the mobile app

  4. Approve: Designated approvers review and approve or decline requests

  5. Track: Approved time off appears on the Who's Off-Site calendar and can sync to timesheets

Key Features

  • Time Off Policies: Set different allowances for different types of employees (e.g., PAYE vs contractors)

  • Business Closures: Pre-set bank holidays and mandatory shutdown days

  • Request Types: Create different categories like annual leave, sick leave, training days

  • Approval Workflows: Route requests to the right people for approval

  • Calendar View: Visual overview of who's off and when

  • Mobile Access: Employees can request and track time off from their phone

Use Case

Time Off is used by:

  • Super Users: Set up policies, generate allowances, and manage the system

  • Payroll/HR Teams: Approve requests and manage employee allowances

  • Site Managers/Contract Managers: Approve time off for their teams

  • All Users: Request time off and track their remaining allowance

πŸ’‘ Tips

  • Start by setting up your time off policies and request types before generating allowances for employees

  • Keep your setup simple – most customers only need 2-3 time off policies

  • Set up business closures for the year ahead so employees can see their true available days
