Viewing the Who's Off-Site Calendar

Calendar-view of all approved Time Off across your company

The Who's Off-Site calendar gives you a visual overview of all approved time off across your company. The darker the day appears, the more people are off – making it easy to spot potential coverage issues at a glance.


View who is off site

  1. Select the Time Off tile from the left-hand menu

  2. Click on the Who's Off-Site tab at the top

  3. View the calendar:

    • Each square represents one day

    • Light blue/grey: Few people off

    • Dark blue: Many people off

    • Hover over any day to see how many people are off

  4. Click on any day to see:

    • Names of people who are off

    • The dates of their time off (from/to)

    • Duration of their absence

  5. Use the filters at the top to refine what you see:

    • Filter by Year to view different holiday years

    • Filter by Site to see who's off at specific locations

    • Filter by Person to track a specific employee's time off

    • Filter by Trade or Employer to check coverage by skill or contractor


Use Case

This feature is predominantly used by:

  • Super Users and Admin staff who need company-wide visibility

  • Payroll/HR teams planning staffing levels and processing payroll

  • Site Managers checking coverage for their sites

  • Contract Managers ensuring adequate staffing for projects

  • Directors reviewing overall resource availability

It's particularly useful for planning periods like Christmas, summer holidays, or when multiple people request the same dates. The visual format makes it immediately obvious where potential coverage gaps exist.

  • Check the calendar before approving time off to see if too many people are already off on those dates

  • Use the site filter to focus only on the locations you're responsible for

  • The calendar updates in real-time, so it always shows the current approved time off
