Generating Time Off Allowances

Once you've set up your time off policies, you need to generate allowances for each employee for the holiday year. This creates their individual time off allocation, which they can then start requesting against.


Generating Allowances

  1. Select the Time Off tile from the left-hand menu

  2. Click the Time Off Allowances tab at the top

  3. Click Create Allowances

  4. Select the Year you want to create allowances for (e.g., 2026)

  5. Review the list of employees:

    • By default, everyone will be listed with the allowance from their assigned time off policy

    • Optional: Tick the Select All box at the top to select everyone, OR

    • Optional: Scroll through and manually adjust individual allowances if certain employees have different entitlements

  6. Click Create

Allowances are now generated for all selected employees for that year. Employees can now start requesting time off through the mobile app (See screen below)


Use Case

This task is typically completed by Super Users, Admin staff, or Payroll/HR teams once per year – usually at the start of the holiday year or just before. It's also used when new holiday years begin or when bringing new employees into the system.

For most companies, this is a quick annual task – select the year, tick "Select All", and create. Individual adjustments are only needed for employees with custom contracts or mid-year changes.


💡 Tips

  • Generate allowances for the upcoming holiday year in advance so employees can plan ahead

  • You can adjust individual allowances at any time using the "Change Allowances" button

  • If your holiday year runs January–December, generate allowances for the new year in December
